Event Entry relaease 2.5.0

We’re excited to announce the release of Event Entry Version 2.5.0, which brings several significant updates and important bug fixes to improve your experience. Here’s what’s new:
New Features and EnhancementsRobust Event Status Regime
- Event statuses are now tightly controlled to prevent data errors caused by incorrectly changing the status of an event (e.g., from Activated to Draft or Proposed).
- A new Test status has been introduced, allowing Event Organisers to test events prior to activating them, then automatically resetting test entries when the event is activated.
- Event Organisers can now cancel events. When an event is cancelled, all entrants are automatically withdrawn, notified of the cancellation, and provided with a link to request a refund.
Enhanced Notifications System
- Notifications have been greatly improved and expanded. Event Organisers, Event Contacts, Entrants, Drivers, and Crew now receive notifications triggered by various key events.
- Event Organisers have full control over these notifications and can turn them on or off as needed.
Vehicle Column in Entries Summary
- A Vehicle column has been added to the Entries Summary page, providing a clearer overview for Event Organisers.
- Resolved several issues to improve stability and reliability.
- Fixed minor bugs reported by users to ensure a smoother experience.

Summary
Version 2.3.5 is an interim update that primarily addresses bug reports, along with a few new features and a security improvement.
Bugs Fixed in Version 2.3.3:
- Prevalidation not behaving as expected
- Duplicate display of some prevalidations
- Event organisers unable to edit some events
- Regulations link not displaying for certain events
- Unable to add a non-member as a crew member
- Some club custom reports not editable after creation
- Resolved several instances of object reference errors
Improvements in Version 2.3.4:
- Enhanced security for event editing
- Added Entry ID to Entries summary list
- Entries summary details pane retracts
New Features in Version 2.3.5:
- Entrants can now nominate a driver's club with an entry
- Added a search bar for Upcoming Events and Entries Summary

Exciting Updates for Q1 2024!
We’re thrilled to announce two groundbreaking updates that have launched in the first quarter of 2024, significantly enhancing performance and introducing a revolutionary way to add crew members. Interestingly, most of these updates were inspired by feature requests from users like you!
We highly value your input and encourage you to share your ideas on our feedback site. Here, not only can you suggest new features, but you can also contribute to the development process by commenting on and voting up the feature requests you believe are most beneficial. This collaborative approach helps us organise our development work, ensuring we prioritise updates that deliver the most value to our users.
Unprecedented Performance Enhancements
We’ve turbocharged the Entries Summary page for event organisers, especially for those managing large-scale events. Previously, events with over 50 participants started to lag, and those with more than 200 entrants were almost impossible to manage. Not anymore! With this update, large events run smoother than ever, eliminating the need to use the older, less feature-rich version.
Revolutionised Crew Addition Process
Adding crew members just got a major security and convenience upgrade. Gone are the days of simply adding members with their ID and last name. Now, members can invite others to join their crew, who must then approve the request. This new process not only enhances security but also lays the groundwork for more exciting enhancements in the near future.

Bug fixes
Every time we go through a development cycle and fix bugs reported by users like you, we make our app more robust and stable. Thank you for being an essential part of our improvement process!
- Crash some users who have customised MyEventColumns
- Some entries not recording Cross entrants, co-driver and navigators
- Drivetrain field not available in reporting
- Unable to enter an event if crew are added using V1
- Pre-validation amount due does not match total amount due

Major update
Summary
In this release, we have implemented several enhancements to improve the event creation and management process for our Event Organisers. These include, but are not limited to, updates to the 'Create a New Event' and 'Managing Events' functionalities in both versions of the Official Motorsport Australia Event Entry app.
We've streamlined the process of creating and editing events, with a focus on reducing complexity and improving user-friendliness. Updates include clearer navigation between disciplines, simplified event forms, introducing integration to member accounts, and more consolidated view of event details and entrant lists.
When it comes to managing events, we've streamlined the suite of tasks organisers can perform from the Club Events page. From viewing comprehensive event lists to navigating to dedicated Entrants summary, allocations and check-in pages, managing events has never been easier. Plus, we've improved the pre-validation and check-in processes.
Whether you're a Club Secretary, Event Promoter, or Coordinator, these updates aim to make your experience smoother and more efficient. As always, we appreciate your feedback and look forward to continuing to improve the platform to better serve your needs.
Event Entry V2
The main objective of this release was to complete the modernising of the user interface.
The Event Organiser user interface is now fully integrated within the Member Portal.
Event Organisers should start by linking their Organiser accounts to their Member accounts.
Event Organisers that do not have Member Accounts should sign-up for a new Member account before they can link accounts.
Once linked, Event Organisers will access the Event Entry app from within the Member portal like entrants currently do.
Members who are also Event Organisers will see two new menus in their Event Entry app; Club Events and Paper Entries.
The main feature consolidates the Entries Summary, Allocations and Check-in page into a single page.
The Event details and Entrants list pages are now also a single page.

Minor update
Updates in March have seen the completion of the user interface reskinning, performance improvements and bug fixes.
- Configure the new look Event entry app the default experience, which includes:
- Remove duplicated name and address section from Event entry.
- Complete user interface reskinning remaining lists in My details: My Cars, My Crew, My transporters, and My service vehicles.
- Improve navigation between sections, adding action buttons, improving column sorting and filtering, and enhancing list customisation.
- Add Team sponsor to Entries summary page .
- Improve performance loading events with large number of entries.
- Fix bug where earlybird and club discounts were not applied to cross entries.

Important notice
The most recent update to the Event entry app has included a change to the database schema and reporting that may affect you.
This may affect your use of the exported csv files for additional operations.
Changes
One field has been removed
- Car Transponder 2
- Cross Entry Transponder Ref (alphanumeric)
- Cross Entry Transponder Rent (Yes/No)
- Entry Transponder Ref (alphanumeric)
- Entry Transponder Rent (Yes/No)
Reports will no longer include the field Car Transponder 2
The All Entry Details report has been updated to reflect these changes.
The All Entry Details report has not been updated to include other new fields for some time, so the latest update has caught up and the report now includes all 215 missing fields.
If you use an exported csv for additional operations it is advised to not rely on column position for the correct data, always employ a more sophisticated lookup method based on field names.
Error checking should also be performed prior to importing data into any external system.
New Features
Share Event URLs (Hotlinks)
URLs to the specific events can now be copied and shared by anyone, this feature simplifies the event entry process by replacing the need to navigate through several menus with just a click.
This new feature was requested by several event organisers on the Motorsport Australia feedback site subject: Event hotlinking.

Transponders
We are excited to announce the deployment of a new feature, in response to a community request, that improves the management of transponders for events on the Motorsport Australia Event entry app.
Event organisers can now incorporate transponder requirements for events, including the option to offer transponders for rent along with the rental fee, when creating new events.

Enhancements
Several minor enhancements have been introduced
- Add Car and Driver info to cross entries dropdown for easier identification.
- Check-in balloon colour now reverts to white [not-checked in] after the next new search.
- Change text validation rule to accept space on Car Makes.
- Additional option in the Car description - Supercharged.
Bug fixes
- A bug resulting in Event Entry Validation incorrectly failing license validation has been fixed.
- Incorrect menu bar behaviour in the New look Event entry app has been fixed.
- Type column on Upcoming events displaying wrong data.
- Several unseen backend processes affecting performance have been fixed.
